Organising your SEO business

Hi all,

I was just wondering what systems you guys use for organising your SEO business. For example, do you keep all your notes on a simple pad of paper? How do you remember when to call someone and what it's about, which customers pay what, and keep track of enquiries that need following up?

I like to think I'm quite an organised person but due to the nature of SEO and each client having different needs, I'm having trouble organising and sorting all the client information I have! Trying to juggle existing customers and new leads is tricky enough without forgetting who someone is and what they need!

Any tips and solutions would be greatly appreciated

I am a very organized person but... it gets very hectic somedays.

Man somedays I just don't want to open my email or IM systems... I know if I do i'll have 50 IMs pop up... I am working on converting all these to money... I try and feed questions through my pay-by-the-minute system but that doesn't always work...


Ohh you wanted suggestions on organization?

I'm very much unorganized I prefer to use reminders in outlook to remind me again and again, but i used to ignore most of those reminders too.

In SEO business you will deal with many clients and even more websites (usually clients have several sites). So it is good idea to organize each site into single project.

Data for each project need to be stored in separate file/folder, regardless of if you keep copies of documents or do everything in paperless way.

It is good idea to use Excel for all your worksheets, keep all project-related data together. Always keep copies of all reports you have created for your clients, timesheets, invoices, etc. Store safely any login information provided by client (FTP, PPC accounts, etc.)

DO NOT FORGET TO HAVE TO BACK UP ALL THIS INFORMATION REGULARLY!

Keep track of all steps (actions) that were taking while you are working on the project. Track the results. It will help you when you prepare reports for your client in the future.

.... and keep your "to do list" on a google spreadsheet document... you can open it on any computer. Mine has seven columns... one for each day of the week. the top half list categories and tasks, the bottom half my "to do list" for that day.
